Description

SUMMARY:
Prominent family looking for a meticulous house coordinator to spearhead all operations and upkeep of home. In this role, you will be required to oversee the daily operations of the house and the family. The candidate will work closely with the Principals to have a clear understanding of preferences and taste to properly supervise and implement processes that are coherent with the Principals expectations. Qualified candidates can work independently and can multitask to oversee responsibilities and list of priorities that is updated with Principals on a monthly basis.

Experience Requirements

10 years of experience working in a private home with verifiable references

Educational Requirements

College Degree preferred
Language: English, Spanish (required), Italian (not required, but preferred)

Qualifications

● Excellent skills with budget management – sensitive to pricing and cost for all purchases
● Minimum of 10 years’ experience in serving private households – previous experience in
hotels is also preferred, but not required
● Must love dogs, children, and have experience managing busy school and activity
calendars
● “No job is too small” attitude, must be willing to roll up your sleeves and pitch in
● Demonstrated experience of overseeing vendors, including obtaining bids for jobs, and
managing multiple simultaneous projects
● Possess superior organizational, process and time management skills
● Outstanding references from both current and previous employers
● Flexible scheduling with an availability to work overtime and weekends as needed
● Valid driver’s license with a perfect driving record
● Candidate must exude high EQ, integrity, reliability and trustworthiness

Responsibilities

Daily
● Order and maintain personal stock for Principals and children of toiletries, medicine,
clothes, travel supplies, cleaning supplies, food, beverages and snacks
● Maintain cleanliness throughout the property including exterior structures, windows,
walkways, patios, pool deck, and parking areas
● Attend to dogs including daily walks, feeding, medication and periodic appointments
● Perform small household repairs
● Manage automobiles including washing, waxing, vacuuming, maintenance/service
appointments, insurance and so forth
● Run errands and perform chauffeur duties as needed
● Set table in accordance with proper etiquette
● Organize, pack, ship and receive deliveries and packages for household
● Oversee daily deep cleaning schedule and assist if time permits
Vendor Management
● Contact, screen, propose and oversee vendors, including comparing multiple bids and
track budget of projects
● Negotiate and manage contracts, supervise work and review invoices
● Work with, schedule, supervise and upkeep of maintenance schedules for household
vendors: landscapers, HVAC, electrician, plumber, etc.
Oversight
● Supervise and coordinate on-site activities and provide day-to-day direction of staff
● Complete oversight of the house; maintaining consistency of standards, procedures and
services.
Events
● Assist with upfront coordination of events including ensuring appropriate staffing
● Perform event set up and take down as well as table service throughout events
Other
● Manage pool temperature and garbage schedule
● Ensure house is presentable with flower arrangements and other niceties
● Periodically move heavy objects including furniture and heaters
