Description
An established family in the Peninsula is seeking a highly experienced Estate Manager to supervise and manage all estate activities and functions. This person should work efficiently to ensure the overall wellbeing, comfort, security and safety of the family and guests. Responsibilities include providing supervision and training, and developing procedures for household and estate staff to meet these goals. The EM will also oversee all contractor functions, contract support development, expense approvals, etc.
This person should demonstrate expertise in recruiting, vetting, hiring, training and managaging staff on site, as well as have excellent technological skillset.
Experience Requirements
- 5 years’ minimum experience working as a private Estate Manager with excellent verifiable references
Educational Requirements
- Expertise in Human Resource management required
- Fluency in English
Qualifications
- Only LOCAL candidates already living in the Peninsula with knowledge of vendors in the area will be considered
- COVID-vaccinated
- Valid driver with clean record
- Must have previous experience as an Estate Manager in a high-end home
- Strong network to assist with filling vacant positions and vendors
- Demonstrated experience of overseeing contractors, including obtaining bids for jobs, and managing multiple simultaneous projects
- Understanding what level of detail is communicated to different teams while still maintaining privacy of the principals.
- Possess superior organizational, process and time management skills
- Flexible scheduling with an availability to work overtime and weekends as needed
- Must exercise good judgment, confidentiality, tact and patience
- Must sign NDA and have clean background check
- Excellent technological skills
Responsibilities
- Responsible for developing, implementing and maintaining a living environment that meets or exceeds the owner’s expectations and ensures an optimum level of comfort, safety, security and privacy for the family
- Responsible for all operational, administrative, human resource, contractual and financial matters relating to the effective and efficient management of the property
- Establish and maintain values, policies and programs to ensure that estate and family services are delivered to the highest standards
- Create annual budgets, as approved by owner
- Review and approve household bills, household employee time cards and review accounting records of acquisitions and expenses
- Supervise security and daily operations of estate
- Supervise and train household staff
- Create and implement preventative maintenance programs for all facilities to ensure asset preservation
- Manage and supervises staff and contractors responsible for specific estate support functions
- Establishes contractor relationships and implements service agreements that provide the highest level of service at competitive rates
- Act as owner’s representative and Project Manager for all construction, landscape and renovation projects, including the review, selection, and supervision of architects, designers, and contractors
- Oversee all vendor work including roofing, plumbing, electric, repair, pest control, repair and painting as related to all maintenance and capital projects
- Coordinate shipping, receiving and maintaining extensive fine art and furniture collection
- Responsible for event and guest scheduling for all locations, ordering and stocking of supplies and all required vendor support services
- Responsible for all building operations, maintenance, safety and security. This includes supervising the Operations/Grounds Manager
- Maintains a consistent presence to ensure the safety of the property and its inhabitants. This includes quick response to any emergency situation
- Ensures that highest standards of cleanliness and hygiene are followed in work activities
- Coordinates with other appropriate staff at the owner’s office to ensure proper coordination of estate matters
- Provides advice and consultation relative to owner’s other properties as directed by owner
- Any other duties as directed by the owner
